Which characteristics? The specified checks, not automatically every drawing feature. The specified checks on the selected units.
What decision? Results for the checked characteristics of each inspected unit; material status under the agreed rules. The lot decision under the sampling plan, with its associated risks.
What record?Population identity, checked quantities, findings and segregated material status.Lot identity, plan, selection, sample results and the applicable acceptance decision.
What is not established?Checks do not detect every possible defect or eliminate measurement and human error. An accepted sample does not prove every uninspected unit conforms.
Fictional example · not a sampling recommendation

1,000 parts. One visual check. A clear statement.

If all 1,000 parts receive the specified visual check, report 1,000 checked for that visual characteristic. Do not call this full dimensional inspection if no dimensional checks were included.

If an independently approved plan calls for 80 selected parts, report 80 inspected from a lot of 1,000, the selection and results, and the plan decision. The other 920 parts have not received that check. The number 80 here only demonstrates record wording; it is not a calculated or recommended sample size.

Put these five items in the brief.

  1. PopulationPart, revision, lot identity and quantity presented.
  2. CharacteristicsWhich visual, dimensional or gauge checks are required.
  3. Coverage100% or the approved sampling plan for each check.
  4. Decision rulesAcceptance references, incomplete-check treatment and escalation contact.
  5. EvidenceReadings, attribute results, quantities and material identification.
Discuss a final-inspection scope

Start with the decision the inspection must support

For a defined containment exercise, the question may be which individual parts pass a particular defect check. For acceptance sampling, the question is whether a lot meets the decision rule in an approved sampling plan. Those are different decisions. Confirm the required coverage with the responsible quality authority before estimating time or requesting a quotation.

Specify the whole sampling plan, not just a percentage

A sampling brief needs an identified lot, an applicable plan and revision, a selection method, the required sample size, acceptance and rejection rules, and an instruction for a failed or incomplete sample. Include the customer-defined defect classification and any applicable switching rules. A convenient percentage or the first parts found in a box is not a substitute for an approved plan.

Keep AQL separate from the observed result

Where an AQL-based plan is specified, AQL is a parameter used with that plan and its decision rules. It is not a statement that a matching percentage of every shipment is defective, and an accepted sample does not demonstrate that every unit conforms. Report the selected units, the observed findings and the plan decision without converting them into unsupported claims about all uninspected parts.

Define what happens when a check fails

Agree the escalation route before inspection. A failed sample or an uncertain requirement should trigger the specified hold and customer review. Do not keep taking new samples until one passes. A customer may authorise sorting, rework, another inspection scope or other disposition; preserve the original result and link any authorised follow-up to it.

Quote the work using the actual coverage

Provide the lot size, the characteristics, the coverage for each characteristic, the method, site access and required timing. If one check is performed on every part and another uses a sample, state both. Inspection effort also includes setup, handling, segregation and recording; the number of parts alone does not describe the job.
